Business Office, Records

The Business Office maintains all of the financial, legal, and business records of the College.

Materials include: financial audits and statements dating back to the 1960s; official documents of the college (e.g. application for not-for-profit organization, State of Illinois approval for certificate) dating back to circa 1928; by-laws of the corporation; reports to the Board of Education. These records are confidential and restricted.

Community Music Academy, Records

The Director of the Community Music School maintains records pertaining to the administration of this program.

Series include concert programs, enrollment information, administrative records, and photographs in electronic format.

Ensembles Office, Records

The Ensembles Office maintains records pertaining to VanderCook College of Music’s concert band, MENC student chapter materials (through 2004), Alumni Board records, school contact lists, and the concert band and jazz band score libraries and databases.

Series include VanderCook College concert band administrative records, Alumni Board records, Midwest Band Clinic materials, and student recital information.

H.E. Nutt Archives, Records

The purpose of the H.E. Nutt Archives is to collect, preserve, and make available for research those materials documenting the history of VanderCook College of Music, and the role of the College and its members in music education past and present. The H.E. Nutt Archives serves as an information resource and strives to promote research among the VanderCook College community, including individuals and collective members of the faculty, staff, administration, student body, and alumni. The Archives also serves individuals outside of the VanderCook College community who have an interest in the College's history or the history of music education.

Series include administrative papers and exhibit materials.

Office of Admissions, Records

The Admissions office maintains records pertaining to current recruitment activities. Specific records kept by the Admissions office include lists of potential students, reports related to current recruitment activities, recruitment packets which are distributed to potential students.

Office of Communications, Records

The Office of Communications takes over many of the responsibilities formerly assigned to the Office of Publications. The Office creates and maintains official VanderCook College publications, including the Vanguard, College Catalogs, etc. In addition, the Office of Communications maintains access to VanderCook College photographic files. The photographic files are accessioned into the H.E. Nutt Archives as the VanderCook College of Music Photograph Collection. The Office also maintains the VanderCook College of Music website.

Office of Development, Records (defunct)

The Office of Development became defunct in 2004. Its functions were taken over by the Office of Communications and the Office of the President.

Series include publications (such as the Vanguard and other VanderCook College of Music newsletters).

Office of Financial Aid, Records

The Financial Aid Office maintains records pertaining to student financial aid. These records include fiscal (financial aid) audits and financial aid documents. The office also produces an annual report on financial aid trends.

Office of Publications, Records (defunct)

The Office of Publications became defunct in December 2002. Since then, publication activities have been taken over by the Office of Development, the Office of the President, or outsourced to an advertising firm. The Office of Publications created and maintained all official VanderCook College publications, including the Vanguard, College Catalogs, etc. In addition, the Office of Publications maintained an “Ad Book”, the “Alumni Board Manual”, and access to VanderCook College photograph files. The photograph files have been accessioned into the H.E. Nutt Archives as the VanderCook College of Music Photograph Collection.

Series include course catalogs, exhibits, fund-raising, promotional literature, Vanguard newsletter, yearbooks, published articles and advertisements, and miscellaneous publications.

Office of the Director of Bands, Records

The Office of the Director of Bands previously maintained records pertaining to the band library, as well as VanderCook College’s involvement with the Midwest Band Clinic and other festival and clinic events. Since 2004, most of these activities have been taken over by the Ensembles Office.

Series include band library accession lists and Midwest Band and Orchestra Clinic correspondence.

Office of the Executive Vice-President, Records (defunct)

Now defunct, the Office of the Executive Vice-President existed circa 1962-1971. Richard Brittain held this position for several years before becoming President of VanderCook College of Music in 1975.

Series include office correspondence.

Office of the Graduate Dean, Records

The Office of the Graduate Dean maintains all records pertaining to Music Education Center of America (MECA) courses held at VanderCook College of Music, graduate course information, and some miscellaneous archival artifacts.

Series include administrative records, commencement materials, Master of Music Education projects, and materials pertaining to the Music Education Center of America.

Office of the President, Records

The President’s Office maintains various administrative records, including finance reports and audits, Board of Trustees Minutes (1971-present) and other Board records, mailing lists, VanderCook College self-studies, inventories (i.e. instruments, equipment, score libraries), current undergraduate syllabi, surveys (i.e. IPEDS), fund raising activities since 1980, M.M.Ed. projects, minutes of VanderCook College committee meetings, miscellaneous artifacts pertaining to the college’s history, current faculty and staff personnel files, MECA syllabi, faculty meeting minutes (1963 - present), publication materials (i.e. brochures, advertising materials, college catalogs, student handbooks, electronic Vanguards, metadata for electronic files).

Series include: documents; Illinois State Board of Higher Education; handbooks and manuals; development, fundraising and special events; curriculum materials; accreditation; Board of Trustees; correspondence; Midwest Band and Orchestra Clinic; faculty and staff meetings; records of President Roseanne Rosenthal; audiovisual materials.

Office of the Registrar, Records

The Registrar’s Office maintains all current and past student files. Some student files have been transferred to the Archives due to their historical nature. This office also maintains original copies of graduation programs since 1933, and catalogs for classes. The Registrar’s Office also maintains miscellaneous records, including non-current personnel records, student notebooks (containing observation hours, transcripts, awards, etc.), and Illinois Certification Testing information.

Series include commencement programs, student records, and grade reports. These records may be confidential and restricted.

Office of the Undergraduate Dean, Records

The Undergraduate Dean maintains records pertaining to the undergraduate program at VanderCook College of Music. Specific records kept by the Undergraduate Dean include original student files for current undergraduate students, completed jury forms, miscellaneous forms (i.e. tracking sheets, grade reports), VanderCook College of Music concert programs in hard copy, including student seminar performances.

Series include curricula materials and memorabilia. These records may be confidential and restricted.

Ruppel Memorial Library, Records

The library at VanderCook School of Music began as a collection of instrumental method books and music books. In the early 1950s, when VanderCook became a College of Music, the library broadened its scope to include general education books. Ruppel Memorial Library was founded in 1967, shortly after the College moved to 3209 S. Michigan Avenue. Harry Ruppel was co-founder and co-owner of the Rubank Publishing Company, from whom the library received a large monetary donation. When VanderCook College of Music moved to 3140 S. Federal Street, the library refined and refocused its collection to emphasize music education, including general music and general education to the extent of supporting the curriculum. As of August, 2005, the collection consisted of 14,653 volumes that include books, scores and sound recordings as well as electronic resources to support the undergraduate and graduate curriculums at VanderCook College of Music. The band and choral libraries are maintained separately.

The library maintains records pertaining to its daily operation and administration. Series include: employee records, interlibrary loan records, invoices, publications, grant files, surveys, and miscellaneous records.
